Team Coordinators

Having an efficient team coordinator is as important to the team as the coach and the referee. A good team coordinator will take care of the "business" side of the team, thereby allowing the coach to maximize his/her time with the team members. By definition, there can only be one team coordinator on each team. The following duties are what is suggested that each team coordinator perform, but any team coordinator is welcome to delegate the responsibility to another team member.

  1. AYSO logo Assist the coach during the team meeting in making sure that all registration forms are filled out completely (including an emergency contact besides the parents and medical insurance). This is a good time to make sure that no one on the team has moved or changed phone numbers. If there are any changes, it is imperative that you notify the registrar in a timely fashion.
  2. Assist the coach in the team meeting in making sure that the league volunteer form is filled out completely. The team coordinator should also help recruit parents to mark fields, set up and take down goals, and make the team banner.
  3. Make and distribute a team roster to all players. This should also include a phone tree so that nobody  has to call everyone on the team. This will be especially important in case a game is ever rained out.
  4. Make and distribute a schedule. Especially in the younger divisions it is a good idea to include directions to the fields, as many parents are new to the league and are unfamiliar with where to go.
  5. Make a snack schedule. It is a good idea to include this on the master schedule so that parents don't have to look at two different schedules.
  6. Distribute information on Picture day. This also includes passing out pictures when they are ready to be picked up. If another parent wants to be "picture parent," it is also suggested that they might be able to pick up the pictures for distribution to the team.
  7. Fill out trophy forms for the league when requested.
  8. Reserve a place for end-of-year team party. It is HIGHLY recommended to do this in the beginning of the season, as there are lots of teams having parties at the end of the year.
  9. Coach's gift. Although no one can tell anyone this is required, it is a nice way to say "thank you" to your coach and assistant coach at the end of the year for all they do.
